These Terms and Conditions govern your use of the Solace Dept website and the interior design services we provide. By accessing our website or engaging our services, you agree to the terms set out below. Please read them carefully before proceeding.

Short version: We provide interior design services in good faith. We ask that you engage with us honestly, respect intellectual property, and communicate openly. We will do the same.
1. About Solace Dept
Solace Dept is an interior design studio based at 41 Jalan Ampang, 50450 Kuala Lumpur, Malaysia. We provide residential and boutique commercial interior design services as described on this website. References to "we", "our", or "us" throughout this document refer to Solace Dept.
2. Use of This Website
2.1 Permitted Use
This website is provided for informational purposes — to help you understand our services, our studio, and how to get in touch. You may browse, download for personal reference, and contact us through the forms provided.
2.2 Prohibited Use
You agree not to use this website to:
- Reproduce, republish, or redistribute our content without written permission
- Transmit unsolicited commercial messages or spam
- Introduce malicious code, crawlers, or scraping tools
- Misrepresent your identity or affiliation

3. Service Engagement
3.1 How Services Begin
A formal service engagement begins only after:
- A consultation or introductory meeting has taken place
- A written proposal or service agreement has been issued by Solace Dept
- The proposal has been accepted in writing and the applicable deposit has been received
Submitting a contact form or making an enquiry does not constitute a service agreement.
3.2 Service Descriptions
Our three core services — First Chapter Meeting, Full Story Design, and Closing Chapter Support — are described on this website as a general guide. The precise scope, deliverables, and timeline for any engagement will be set out in your individual service agreement.
3.3 Fees and Payment
- All fees are quoted in Malaysian Ringgit (MYR) inclusive of any applicable taxes unless stated otherwise
- A non-refundable deposit is required before work commences — the amount will be specified in your service agreement
- Remaining payments follow the schedule set out in the agreement
- Invoices are payable within 14 calendar days of issue unless an alternative arrangement has been agreed in writing
- Late payments may result in a pause to project work until outstanding amounts are settled
3.4 Cancellation and Changes
- You may cancel an engagement at any time by providing written notice
- Fees for work already completed at the time of cancellation remain payable
- The deposit is non-refundable regardless of cancellation timing
- Significant changes to the agreed scope may require a revised proposal and adjusted fees — we will discuss this with you openly before proceeding
3.5 Client Responsibilities
To allow us to deliver our services well, we ask that you:
- Provide accurate information about your space, requirements, and any constraints
- Respond to requests for feedback or decisions within the timelines agreed
- Grant reasonable access to the property for site visits as required
- Inform us of any third parties (contractors, landlords, building managers) whose involvement may affect the project
Where delays arise from incomplete information or late feedback from your side, project timelines may be adjusted accordingly.
4. Intellectual Property
4.1 Our Work Product
All design concepts, drawings, mood boards, 3D visualisations, specification documents, and other creative output produced by Solace Dept remain our intellectual property until full payment for the relevant engagement has been received.
Upon receipt of full payment, we grant you a non-exclusive, non-transferable licence to use the delivered materials for the specific property and purpose for which they were created. You may not repurpose, resell, or reproduce them for other projects without our written consent.
4.2 Your Materials
Any documents, photographs, plans, or other materials you provide remain your property. You grant us permission to use them solely for the purposes of delivering your project.
4.3 Portfolio Use
With your prior agreement, we may photograph completed projects and use images for our portfolio, website, and professional profiles. We will always seek your written consent before publishing any images of your home or workspace.
5. Confidentiality
We treat all project-related information — including your address, spatial details, budget, and personal preferences — as confidential. We do not share this information with third parties except where necessary for project delivery (e.g., a trusted contractor) and with your awareness.
We ask that you also treat any unpublished design concepts, material pricing, or trade contacts we share with you as confidential.
6. Limitation of Liability
Our liability under these terms is limited to the fees paid to us under the relevant service engagement. We are not liable for:
- Defects or delays caused by third-party contractors, suppliers, or manufacturers
- Changes in product availability, pricing, or lead times beyond our control
- Loss or damage to the property not directly caused by our negligence
- Indirect, consequential, or incidental losses of any kind
Nothing in these terms limits liability for personal injury, fraud, or any matter that cannot be limited under Malaysian law.
7. Third-Party Contractors and Suppliers
Where our services involve the engagement of contractors or suppliers on your behalf (Closing Chapter Support), we act as a project manager and coordinator. Contracts with tradespeople and suppliers are typically entered into directly between you and the third party unless otherwise agreed in writing. We are not liable for the workmanship, delays, or conduct of third parties we did not directly employ.
8. Dispute Resolution
We hope that any concerns can be resolved through open conversation. If a dispute arises, we ask that you contact us in writing first and allow 21 days for us to respond and attempt resolution.
If a resolution cannot be reached informally, disputes will be subject to the jurisdiction of the courts of Malaysia and governed by Malaysian law.
9. Website Availability
We aim to keep this website available at all times but cannot guarantee uninterrupted access. Maintenance, updates, or circumstances beyond our control may result in temporary unavailability. We are not liable for any inconvenience caused by downtime.
10. Changes to These Terms
We may update these Terms and Conditions from time to time. Changes will be reflected on this page with a revised "Last updated" date. Continued use of the website or our services after changes take effect constitutes acceptance of the updated terms.
For active service engagements, the terms in place at the time your agreement was signed will continue to apply unless you and we agree otherwise in writing.
